Repairs & warranties

Every repair documented.
Every warranty tracked.

Tenants submit repair requests and cost claims online. Landlords approve or reject them, deductions apply automatically, and warranty expiry never sneaks up on you again.

Repair requests

Repairs, logged from either side

A landlord can log a repair directly — title, category, cost, status. A tenant with an active lease can submit their own request through the tenant portal with a category, description, and optional photo, without a phone call or a WhatsApp message that gets lost in a group chat.

  • Landlord logs repairs with title, category, cost, and status
  • Tenant repair request portal — category, description, optional photo
  • Status tracking through the repair's lifecycle: open, in progress, resolved
  • Every repair is scoped to one property, visible on that property's own repairs list

Cost claims

Tenant claims, with a receipt attached

When a tenant pays for a repair out of pocket, they can submit a cost claim with an amount and a note, and attach a photo or PDF receipt. The receipt is stored securely and accessible only to the tenant and the property's landlord or manager through a signed, time-limited URL.

  • Tenant submits a claim amount and note against an existing repair
  • Receipt upload (photo or PDF), stored in object storage
  • Receipts served through signed, expiring URLs — never a public link
  • Landlord or manager reviews the claim before it's approved or rejected

Approve or reject

One decision, and the deduction is automatic

The landlord approves or rejects each claim. On approval, DomFlat automatically deducts the claimed amount from the tenant's nearest upcoming or overdue rent payment — no manual recalculation, no separate reimbursement step to remember.

  • Landlord approves a claim → amount is deducted from the next pending or overdue payment
  • Landlord can reject a claim with a note explaining why
  • Deduction is recorded against the specific payment, not just noted in a comment
  • Full history of every approved and rejected claim stays on the repair record

Warranties

Appliance warranties that don't quietly expire

Log the boiler, the water heater, the washing machine — with purchase date, expiry date, supplier, manufacturer, and serial number. DomFlat tracks expiry per item and notifies you before it lapses, so a warranty claim is never missed because nobody remembered the date.

  • Warranty record per item: purchase date, expiry date, supplier, manufacturer, serial number
  • Warranties are listed per property, sorted by soonest to expire
  • Expiry alerts sent before a warranty runs out
  • Notes field for anything specific to that appliance or fixture

Audit trail

A complete repair history, per property

Every repair — who logged it, when, its cost, its status, and every claim decision made against it — stays attached to that property permanently. When you sell, hand a property to a manager, or just need to answer 'didn't we already fix this?', the record is there.

  • Full repair history retained per property, not just the currently open items
  • Repair costs feed directly into portfolio analytics (cost ratio vs. rental income)
  • Every repair and claim action is logged with actor, action, and timestamp
  • Full audit log of every action per property is available on the Agency plan

Notifications

Notified when it matters, not buried in an inbox

Repair-related events trigger both an email and an in-app notification: a new claim submitted by a tenant, a warranty approaching expiry. Notification channels are configurable per event type, so you decide what reaches your inbox.

  • New repair claim from a tenant — notifies the property owner by email and in-app
  • Warranty expiring soon — notified before the deadline, not after
  • Per-event control over email vs. in-app delivery
  • Notifications reference the exact property and repair, not a generic alert

Why this matters in Bulgaria

Documented repairs protect you in a deposit dispute

Bulgarian law puts the burden of proof on the landlord in a deposit dispute: you can only deduct for damage "beyond normal wear and tear," and without documentation, a court will generally order the deposit returned in full. A repair log with dated entries, receipts, and claim history is exactly the kind of paper trail that separates a defensible deduction from a dispute you lose. Repairs tracked in DomFlat sit alongside the lease and payment history for the same property — one record, not three separate places to search when it matters.
